PROJECT SUMMARY:
Accelerating Social and Behavior Change Project (ASBC) seeks to promote measurable and sustainable social, and behavior change in 17 priority districts in the areas of malaria, family planning, nutrition, maternal and child health and emerging infectious diseases in target populations (women of reproductive age, newborns, children <5, adolescents/youth <25 and others). The ASBC project activities are designed to: 1) promote sustainability of a capacitated Ghana Health Service- Health Promotion Division (Result 1); 2) improve health-seeking behavior change and impact at individual and community levels (Result 2); and 3) promote private enterprise and CSO support for the public health agenda (Result 3).
JOB SUMMARY:
Under the direct supervision of the Deputy Chief of Party, the Project Assistant will provide a full range of technical, operational and administrative support, especially around procurement of goods and services under the guidance of the FHI360 Ghana Country Office, to the Program and Technical Teams. The project assistant will also work with the various ASBC technical teams embedded within the Ghana Health Service Health Promotion Division to ensure the smooth implementation of project activities including the coordination of workshops, trainings, meetings, technical reports and travel logistics. This position will be based in Tamale.
KEY RESPONSIBILITIES:
Procurement support to technical teams
Be the first point of contact for the organization of events, workshops, program activities and procurement of goods and services for the technical team, Track, plan for, and organize the necessary documentations (Terms of References, procurement requests and draft Requests for Quotations) needed to support the procurement team to initiate and complete procurements requested smoothly. In tandem with the procurement team at the FHI360 Ghana Country office, and on behalf of the ASBC technical teams, follow through the procurement processes, logistical arrangements, technical dialogue and report development to ensure the timely and smooth delivery services requested by the technical teams. Ensure proper tagging and inclusion of all items procured by the FHI360 Ghana office on behalf of the technical teams to be included in the Ghana Office Assets List. Serve as program assistant for the project technical teams secretary for key technical actions and follow-up procedures. Facilitate vertical and horizontal coordination and communication across the project team and serve as the key interface between technical and operational teams. Maintain project inventory levels of applicable office and equipment and supplies. This includes tracking and follow-up on all procurement activities.
Operational support to the ASBC technical team
Support technical implementation of the ASBC project and augment the operational and administrative needs of the ASBC project. Support and work with the various technical advisors and officers within the technical teams in planning, organizing workshops, and overseeing the provision of all logistical and administrative support to the project for trainings, meetings, workshops etc. Provide administrative and project support in close collaboration with the project administrative assistant Responsible for drafting correspondence, meeting notes, decision directives and other correspondence as necessary and applicable and sure information and messages are forwarded to the correct person for action. Manage (generating, filing and retrieval) project-related documentation both physically and electronically. Assist with travel, accommodation and conference organization to meet project needs. Support the development and completion of written project deliverables, reports and donor correspondence. Perform other related duties as assigned.
